Job application tracker template
Updated on October 28, 2026
When you are job hunting, you apply to many positions, and after two weeks it is hard to remember where you sent your résumé, what stage each process is at and who the contact is. This note brings it all together and also keeps your interview prep.

How to use it
- Create the note with "Use this template" and write the kind of role you are looking for at the top. It helps you decide quickly where it is worth applying.
- For each application, create a checkbox item with the company and role, and right below it the date, stage, contact and next step.
- Update the stage every time you hear back. When the process ends, tick the item and move it to "Closed".
- Before each interview, practice the answers in the prep section and tick the ones that are ready.
Tips
- Always write a next step with a date. It is what reminds you to follow up when a company does not reply.
- Note which résumé version you sent to each company. In the interview, you know exactly what the person read.
- Create calendar reminders for interviews (⋮ menu › Create reminder), with the note’s link in the event.
- After each interview, write two lines about what they asked and how it went. The next ones get easier.
Careful with personal data
The tracker is about you, but it does not need your documents. Keep your résumé on your computer or in the cloud and only write the version name in the note. Choose a hard-to-guess address, since the note has names of companies and people, and do not share the link. If you get offers with salary figures, you can write them down, but think about whether you would mind someone else reading them.
Do not keep ID numbers, bank details, job site passwords or copies of personal documents in the note.
